Location 

How do I get to The Eastside Rooms Conference Centre

Address: Eastside Rooms, Woodcock St, Birmingham B7 4BL

The Eastside Rooms conference centre is Birmingham’s newest venue, combining innovation with Birmingham’s industrial heritage. The venue offers the perfect space to network, browse the exhibition area and attend an exciting lineup of talks and workshops (programme coming soon).

Located in the heart of Birmingham’s east side with a major national motorway network on its doorstep, the venue is well connected to the rest of the UK. There is a local carpark (0.1 mile) close to the venue, which holds over 900 spaces. The venue is also close to both Birmingham Moor Street (0.7 mile) and Birmingham New Street (2.4 miles) train stations. A taxi from New Street costs approximately £8 and transportation is ready available from both the station and the venue.

The venue is conveniently located next door to the Aloft Birmingham Eastside hotel (part of the Marriott family), which offers just under 200 guest rooms, a cocktail lounge and 120-seater restaurant.

 

Facilities

Is there free WiFi

Yes, unlimited, high-speed wifi access is available throughout the Eastside Rooms, free of charge.

Is the venue wheelchair accessible and do you have accessible toilets?

The venue is fully accessible, with a state of the art changing places toilet on the ground floor that includes an adult changing bench and hoist system, as well as disabled toilets on the 1st and 2nd floors.

How do I book accommodation?

Are dogs allowed in the venue?

Assistance dogs only are allowed in the venue.

Are prayer rooms available?

Yes, a prayer room is available on site.

Is there a drop off / pick up point for taxis?

Yes, there is a drop off point outside the venue.

 

Exhibiting

Are loading facilities available?

You may deliver items for your stand a maximum of two days prior to the event. Venue personnel will sign for/accept deliveries on your behalf, but they must be clearly and correctly labelled. A delivery label is attached to this email.

  • Please note collection must be arrange immediately after the conference/event has ended. Items cannot be stored longer that 7 days.
  • Exhibitors are responsible for the delivery, off-loading, and transportation of goods within the venue. 

  • All goods must be received through the loading bay located at the back of the venue, which is accessed via the service road off Jennens Road. 

  • The loading bay is equiped to handle vans and large vehicles including articulated lorries. Please note, however, that there are no parking facilites for lorries or vans, which will need to find their own parking for the duration of the event.

  • The loading bay is on the lower ground floor and all goods must transported through the corridor to the service lift, the dimensions of which are 2800mm (w) x 1800m (d) x 2098mm (h). 
  • On the morning of the event, goods must be transported from back of house into the correct room for the exhibition. Bus stop signs if necessary will guide all exhibitors to the correct location. Under no circumstances are any stands or exhibition material to be brought through the main corridors or entrances of the venue unless this has been prearranged.

Can I have items delivered pre-event?

What are the opening hours of the exhibition?

The conference officially opens at 08.30 and finishes at 18.30

On the day, where will I find my parcels that were delivered ahead of the event?

Your parcels will be delivered to the exhibition space in advance of the event and positioned between Stand 1 and Stand 2 for easy access on arrival.

When can I access the hall for build up?

Set up from 07.00, with registration starting at 08.30. The conference officially begins at 10.00

What time should I breakdown my stand?

All stands need to be broken down as soon as the conference has concluded. All materials and goods need to be taken back of house the same way they were brought in. All rubbish and disused items are to be removed by the exhibitors. Collection on the 3 June can take place up until 10.00

Breakdown time: Between 16.00 - 16.45

What services are provided with my stand?

We provide a tablecloth, a table and access to electricity

Who disposes of any materials and goods after the event?

It is the exhibitor’s responsibility to dispose of any empty boxes or materials that are no longer required.

How do I arrange for my parcels to be returned after the event?

  • To arrange the return of your parcels, you must email your return shipping label to [email protected] in advance of the event.
  • Please ensure all parcels are clearly labelled and ready for collection immediately after the event has finished.
  • Collections must be booked by you directly with your courier, and goods cannot be stored for longer than 7 days.

How do I get my exhibitor badges and how many can I have?

The quantity of exhibitor badges issued per stand, or persons permitted to attend, is dependent on the sqm of your exhibition stand. You do not have to use your full allocation of badges/attendees but for security reasons we would always recommend a minimum of two persons per stand.  

You should order your badges by entering details via the link emailed to you. These can be picked up at the VODG registration table on the day of the conference.

Will a delegate list be available?

Yes, a delegate list will be available following the conference.

As an exhibitor will I be allowed to attend the sessions or drinks reception?

As an exhibitor, you are expected to stay on your stand for the duration of the event. Sessions and the drinks reception are intended for delegates only.
